Rent rows write themselves

  1. 01Each month’s rent comes from the contract: rent, utilities and building maintenance, minus discounts.
  2. 02Move-in and move-out months are prorated by the day.
  3. 03Change a move-out date and the affected months re-prorate on their own.
  4. 04A repair fee can ride on next month’s rent, so the resident pays one amount.
  5. 05Rent changes — one resident or a whole building — are recorded as rate periods, so past months keep their price.
  6. 06Rent and charge reminders go out by email, and late fees are added automatically.

When AI isn’t sure

AI reads the amount, the recipient, the date and whether the transfer completed, looks for signs of editing, and flags a proof that looks like one sent before. Anything unclear stays in Verifying, with the reasons, for your team.

Expenses and receipts

Photograph the receipt. AI reads every line; your team approves.

Receipts are read line by line — the Japanese item name with an English translation and the tax rate of each line. Personal-looking items are flagged, and the submitter can take them off the claim.

Approval decides who pays

Approving sets the expense category, and the category decides how the cost is shared with the owner. Receipts move from pending to approved, paid or rejected, with totals per month and a PDF bundle of the month’s receipts.

Bank transactions from freee are assigned to a building or marked as company-level. Incoming payments can settle residents’ unpaid rows, and the payer’s name is remembered for next time.

A P&L for every building, from the same rows. Deposits kept apart, never counted as income.

Discounts are netted into rent
A ¥5,000 discount is ¥5,000 less rent, not an extra expense.

Settlements and waiting-list deposits stay out of income; only an amount you keep counts.

Deposits, from booking to refund.

A deposit is collected at booking and held in trust. On a room change, the old room’s deposit is credited to the new one. When a booking is cancelled, you record a refund or keep the deposit. At move-out, the report subtracts the deductions — cleaning, repairs, unpaid items — and the rest is refunded.

Questions about money

Which payment methods can residents use?

Card, PayPal, Wise, PayPay, bank transfer and cash — you switch on the ones you accept. Card and PayPal payments mark themselves paid; bank transfers, Wise and PayPay are checked from the screenshot.

What happens when AI isn’t sure about a screenshot?

The payment stays in Verifying and shows your team what didn’t match — the amount, the recipient, the date or signs of editing. Someone looks and marks it paid. Clear proofs never wait.

Is OmniPM our accounting software?

No. It keeps the operating ledger: rent, costs, deposits and a P&L per building. Your books stay in freee, whose bank transactions OmniPM pulls in and assigns to buildings.

Are deposits counted as income?

No. Deposits are held in trust on their own tab, with an opening and closing balance for each period. Only an amount forfeited at settlement is counted as income.

Can we bring our current rent roll?

Yes. During setup we import residents, units, rents and deposits from your sheets, so the first month starts from the right balances.
