Reservations and booking
A five-step booking form. Then one click from your team, and the paperwork follows.
- 01ApplicantGuestName, contact and nationality. The email is confirmed with a code.
- 02StayGuestDates, guests and co-occupants, and bedding if the room needs it.
- 03ConsentGuestThe cancellation policy, the contract language and the guest’s agreement.
- 04ReviewGuestEvery detail and every fee on one page, checked before paying.
- 05PaymentGuestCard, PayPal, Wise, PayPay or a bank transfer — skipped when a link is already paid.
- 06EmailsAutomaticA confirmation to the guest, in their language, and a notice to your team.
- 07AcceptYour teamThe move-in goes on your calendar, and the guest gets the contract to review.
- 08Contract and invoiceAutomaticOnce the guest confirms, the contract goes out for signature and the move-in invoice is issued.
If an automatic step fails, the booking is still there: open it and press Retry automation. A second submit for the same room within two minutes is caught, and a card already charged that day isn’t charged again.
Reservation links
Agreed a different price by phone? Send a link for one room: your rent, deposit and fees, a campaign discount if you like, the guest count fixed and an expiry date. The guest books through the same form; you see every click.
Already paid in cash or by transfer? Mark it, and the payment step is skipped.

Estimates
“How much to move in on 1 December?” Pick the room, dates, occupants and bedding, adjust the price if you need to, and download a PDF — no booking created.
When the room is taken
The form suggests other rooms: the same building first, then the same area, then rooms that free up on another date — labelled as such.
Every booking, filterable
Filter by state, payment and method, teammate, building, owner, discount and source website.
After it’s booked
Room change
Move a resident to another unit; the old room’s deposit is credited to the new one.
Co-occupants
Add or remove one mid-stay; the contract records follow.
Cancellations
Record a refund or keep the deposit; the P&L and the guest’s portal follow.
Import
Walk-ins and agent referrals entered by hand, with no emails sent.
Calendar and channels
Nightly guests and monthly residents on one calendar. Airbnb, Booking.com and VRBO see it too.
Every unit publishes its own calendar feed. Add it to Airbnb, Booking.com, VRBO or Google Calendar, and a stay booked here — direct, monthly or an owner block — closes those nights there at the platform’s next refresh.
Calendar
All buildings · 10 units
Out · one feed per unit
Long stays are blocked a day either side for the turnover. Short stays free the check-out day, so same-day turnovers still sell. Month-to-month residents are blocked 18 months ahead.
In · platform calendars
Airbnb, Booking.com and VRBO calendars are read every day, or when you press Sync now, for the gap report only. Calendars from partners who also let your rooms are read every hour and close those dates here.
Check · channel gap report
Rooms that are free here but still blocked on a platform, with how much of the next 30 days is closed. It flags; it never changes a calendar.
Channel IDs
Each room’s Airbnb, Booking.com and VRBO listing IDs, so an incoming booking lands on the right unit.
Channex connection
Bookings and guest messages from your channels come in through Channex; replies go out from the inbox.
Availabilities
Every unit’s occupancy and the date it frees up, partner-calendar stays included.
Availability by date
A room shows Available now or From a date. Month-to-month residents keep theirs off the market.
Waiting list and viewings
When a room frees up, the people waiting hear first. Offers, viewings and your team’s calendar in one place.
- 01JoinProspects join from your website or their portal with a move-in window, a budget and the areas they want, and pay a waiting-list deposit.
- 02MatchRooms that fit are listed against each entry, and your team gets a daily email with the new matches.
- 03OfferSend an offer for one room. The prospect has 24 hours: decline in one click, or accept and book it.
- 04BookAccepting opens the booking form for that room, with the deposit credited to the reservation fee.

History
- A declined or expired offer returns the entry to the pool.
- Sign-ups that never pay expire on their own.
- A booking whose room falls through can move to the waiting list instead of being cancelled.
- The deposit is held, not income: credited to a booking, refunded, or kept from the Cancellations tab.

Mika’s booking page

Mon–Fri · 10:00–18:00. Booked and blocked times are never offered.
Viewings book themselves into free slots.
Each teammate has working hours and a personal booking page; booked and blocked times are never offered. Viewing requests from your website ask for three preferred dates. The same schedule holds contract explanations, move-ins and room checks.
- Confirm, move, cancel
- Each change sends the email and updates the calendar event.
- A viewing pipeline
- To schedule, upcoming, follow-up and closed — with a reason when one closes.
- Booked, automatically
- When the same person makes a reservation, the viewing is marked as booked.
- Notice to residents
- The room’s current residents get a showing notice by email.
After the booking, each stay takes its own path. Nothing is typed twice.

Rent Roll and paymentsQuestions about bookings
Do Airbnb, Booking.com and VRBO bookings show up in OmniPM?
Yes. Each room keeps its listing ID on each platform, so an incoming booking lands on the right unit, ready for its check-in link. Connect your channels through Channex and bookings and guest messages come straight in. Availability goes out through each unit’s calendar feed.
How quickly do the platforms see a booking made in OmniPM?
Each platform reads the unit’s calendar feed on its own refresh schedule. The channel gap report shows any room that is free here but still closed on a platform, so a mismatch is visible instead of hidden.
What happens if something fails after the guest pays?
The booking is saved first. If the calendar event, the contract or an email fails, the booking shows it, and Retry automation runs the missing step again.
Can we bring the bookings we already have?
Yes. During setup we import your units, residents and bookings. After that, the Import tab adds any booking made outside OmniPM, without sending emails or contracts.
How does a waiting-list offer reach the prospect?
By email. Declining is one click; accepting opens the booking form for that room with their deposit already credited. The offer is held for 24 hours, then it expires and the room can be offered again.
Every channel’s bookings, on one calendar. We’ll connect your channels with you.
